Platform rules

The commitments the app enforces on every account. Some are unusual for shipping software. All of them are deliberate.

Sessions & Users

  • One WEB session + one MOBILE session per account at a time — a same-kind login elsewhere ends the older session (last login wins), and the bumped person is told why on the login page.
  • New accounts verify their email address before the first sign-in (7-day link, resend available); verification gates login, never payment.

Pricing & Rates

  • Every carrier quotes the customer's ACCOUNT-negotiated rates — the request carries the account and the response reads the net/account charge. No fallback may show a non-account rate: when a tariff can't price a lane on the account, the quote is refused with a fixable reason instead.
  • Plans are priced by monthly shipment volume ($50–$500 published tiers with 100–2,000 included shipments, soft overages, never a hard cap; unlimited users, locations and carriers on every plan; annual billing 15% off).
  • A $0 or missing rate can never win "Best price" or be booked.
  • $0 markup: customers ship on their own carrier accounts at their own rates; Flutter Freight never marks up freight.

Invoices

  • BILLED MEANS BILLED: the audit's billed column only ever shows real invoice amounts (accepted by a person or carrier-reported); it stays blank when none exists — never a quote-derived number.
  • Carrier-reported amounts are suggestions until a user clicks Accept; PDF extraction is deterministic-or-nothing (no OCR, exactly one labeled in-band amount).
  • Dispute drafts are NEVER sent to the carrier by the app — copy, or email-to-self with documents, then the user forwards it.

Notifications

  • Alerts are single-shot per shipment (a marker column guarantees once) and go to the person who BOOKED it, org owner as fallback.
  • The recipient's own toggle governs every send; toggles default ON.
  • An email failure can never break the flow that triggered it (best-effort side pipelines).
  • Automatic tracking refresh pauses overnight (10pm–5am Pacific); the daily brief goes out on the first sweep at or after 8am in each customer's own time zone.

Addresses & Data

  • Saved addresses store the canonical validated form only — USPS abbreviations, 2-letter states — and dedupe canonically ("Fuller Lane Southeast" = "Fuller Ln SE").
  • Address/commodity books auto-learn from bookings and never overwrite what a user typed deliberately.

Carrier Credentials & Security

  • Add Carrier asks ONLY for the credentials the integration actually uses; keys are AES-256-GCM encrypted at rest and never returned to the browser.
  • Credential edits validate against the live carrier BEFORE replacing anything; blank means keep.
  • Database is deny-all row-level security (service-role only); tenants are fully isolated; password-reset links are single-use.
  • Every customer carrier connection runs against the carrier's production system — quotes, bookings, documents and tracking are all real; internal development environments never appear in customer-facing UI.
  • FedEx and UPS require the shipper's acceptance of the carrier's terms before that carrier can ship — FedEx's full EULA on-screen with a scroll-to-end gate, UPS Terms by recorded acceptance.

Bookings & Carrier Calls

  • Rate quotes, tracking, and document pulls are read-only carrier calls; bookings and pickups are real, committing operations that only run on a deliberate user action.
  • Oak Harbor tracking is EDI-fed (their SFTP 214 feed) and never polled; FedEx Freight only rates shipments originating from the account's registered location (a FedEx rule, surfaced in-app).
  • Cancel means what it says: for LTL it cancels the scheduled pickup (the truck), not the shipment record at the carrier; for parcel and USPS it voids the label — the dialog states exactly which before you confirm.
  • An international parcel booking is never sent with an incomplete customs declaration, and declared values over $2,500 are blocked (formal export filing the app doesn't do).
  • Cancelling a booking never reverses its count toward the plan's included volume — cancel only cancels the pickup or label with the carrier and never touches Stripe.

Billing

  • Subscription cancellation is scheduled for the end of the paid period — access continues until then.
  • Usage emails are one per threshold per billing period (80%, 100%); reaching 100% directly also records the 80% row so a late heads-up never follows the final notice.
